How to Organize a Golf Outing/Tournament/Event
Many groups, companies and organizations avoid golf outings because of the mistaken belief that there is too much work involved, that no help is available to organize and operate the tournament, or that the people involved are not experienced golfers.
With the assistance of Evergreen Golf Centre, you can sponsor a golf or social outing for any group, large and small or with any ability. Evergreen’s Golf Course was designed to challenge the avid golfer but is friendly to the beginner or non-golfer. The amount of effort required to make your event successful will, depend on the size of the group and by knowing what each golfer or what the organizations goals are.
We at Evergreen have prepared a planning sheet that will assist you in planning your golf outing.
Please go through the following to help you plan your event.
- If you are planning to sponsor or promote a golf outing, you should talk informally to people who might be interested to determine approximately how many will play.
- Select a suitable date and select an alternative date in case your first choice is already booked.
- Call Evergreen at 329-4500 and check to see if your date is open. You should also give the time you would like and the approximate number of participants who will play. This call should be made 14-30 days in advance to guarantee your date of choice.
- Determine the format that your group would like to play or ask the Evergreen Staff for assistance. Some of the most popular formats are:
- Scramble: is the most popular format. In the scramble, a group plays as a team. Each person hits their own ball, the team selects the best shot of the players, and the other members of the group pick up their ball and play from the selected spot. This process is continued until the ball is holed out. Each team will have one score on each hole. This format can be used with 2, 3, 4, or 5 players.
- Best Ball: This is a team format. All golfers play their own ball until the ball is holed out. At this point record the best score from the team. Do this throughout the 9 or 18 holes. The final score that is recorded is the best score from the combination of the team. This format can be used with 2, 3, 4, or 5 players.
- Alternate Shot: This is a two person team format. Both players tee off, select the best ball out of the two, the players ball that was not selected hits the next shot, the player who did not hit the next shot then hits the next shot, alternate shots are taken until the ball is holed out and that score is then recorded.
- Three, Three, Three Format: This is a two person team format. The first 3 holes each team plays a scramble format, the next 3 holes the team plays a best ball format, and the last 3 holes the team plays an alternate shot format.
- Shambles: each player hits a drive, then the team picks the best drive and all players play their next shot from that position. Each player will then continue to play their own ball for the remainder of the hole. Each player will record a score.
- Determine what your group wants as far as food is concerned. Evergreen has food catered in from “The Guest House”. Please see pricing guide for further details.
- Beverage service is available and Evergreen is licensed in the building, tee line of the range, golf course and miniature golf course; however liquor laws do not permit liquor to be brought onto the course in personal coolers or golf bags. Evergreen will supply a beverage cart for your outing.
- Determine what types of prizes you would like. This will depend on the type of tournament you wish to run. Prizes may be given for low gross score, low net score, longest drive, closest to the pin, longest putt, closest to the line, ball in sand trap, ball in water, and closest to the pin after second shot. Evergreen can assist you with any of the prizes.
- Determine the contests that your group would like to play or ask the Evergreen Staff for assistance. Some of the most popular contests are:
- Longest Drive: Who ever hits the longest drive wins a prize. A proximity marker is placed by the ball that is hit the longest. The longest ball must be in the fairway. A long drive contest for men and women is recommended.
- Straightest Drive: Have the golf course draw a chalk line down the middle of a fairway. A proximity marker is placed by the ball that is hit closest to the chalk line. The golfer that hits the ball closest to the chalk line wins a prize.
- Closest to the Pin: Is held on a Par 3 hole. The golfer that hits the ball closest to the pin on his tee shot wins a prize. A proximity sign is placed on the green to mark the ball.
- Longest Putt: Can be held on any green. A proximity marker is placed by the ball that is the furthest away from the hole. The golfer or team that holes the longest putt wins a prize.
- Hole-In-One: Is held on a Par 3. Based on the prize value or insurance policy a witness might be needed. The player who makes a hole in one on the designated hole wins a prize. For hole-in-one insurance please contact Evergreen staff for details.
- Ball in Water or Out of Bounds: All players who hit a ball in the water or out of bounds on a designated hole will have their name put into a draw to win a prize. A proximity marker is placed by the water hazard or by the out of bounds.
- Ball in Sand: All players who hit a ball in the sand on a designated hole will have their name put into a draw to win a prize. A proximity marker is placed by the sand trap.
